Refund & Cancellation Policy

This Refund & Cancellation Policy explains how deposits, project payments, cancellations, pauses, and approved refunds are handled for services provided by Harmon Publishing Group, LLC (“Harmon Publishing Group,” “HPG,” “we,” “us,” or “our”).
This policy supplements any applicable proposal, agreement, statement of work, invoice, or other written project terms. If a client-specific agreement contains different refund or cancellation terms, the client-specific agreement will control.
Project Deposits and Initial Payments
Some HPG projects require a deposit, reservation payment, or initial project payment before work is scheduled or begins.
Unless otherwise stated in writing:

Deposits are applied toward the approved project total.

A deposit may reserve production capacity or establish a project start window.

Payment of a deposit does not expand or alter the approved scope of work.

Project work may begin only after required materials, approvals, agreements, and payments have been received.

Project-specific deposit terms will be communicated before payment is requested.
Because production time may be reserved specifically for a client, deposits may become partially or fully non-refundable once scheduling, onboarding, planning, or project preparation has begun.
Cancellation Before Work Begins
If a client requests cancellation before substantive project work has begun, HPG will review the request based on the status of the engagement.
Factors may include:

Administrative or onboarding work already completed

Strategy or planning already performed
-
Production time reserved
-
Meetings or consultations already provided
-
Third-party expenses already incurred
-
Vendor commitments already made
-
Terms contained in the applicable project agreement
Any refund or credit will be determined based on the work completed, costs incurred, and governing project terms.
Cancellation After Work Begins
Once project work has begun, payments attributable to completed services and work already performed are generally non-refundable.
If a project is cancelled after work begins:

HPG may retain payment for services already completed.

HPG may retain payment for work in progress through the effective cancellation date.

The client remains responsible for approved third-party expenses and non-refundable vendor costs.

Any remaining balance, refund, or project credit will be determined according to the applicable agreement and project status.
Cancellation does not eliminate payment obligations for work already authorized and performed.
Completed and Approved Work
Payments for completed services, approved milestones, and delivered work are generally non-refundable.
Completed services may include:

Editorial and manuscript-development services

Editing and editorial coordination
-
Cover design
-
Interior design and formatting
-
Production preparation
-
ISBN and metadata setup
-
Publishing-platform setup
-
Distribution coordination
-
Brand and visual identity development
-
Website design and development
-
Launch strategy
-
Marketing and promotional assets
-
Author Platform development
-
Other customized professional services
Once a milestone or deliverable has been completed and accepted, fees associated with that work are not generally eligible for refund.
Custom and Digital Deliverables
HPG provides customized creative and professional services.
Because these services are developed specifically for an individual client or project, completed or substantially completed custom work is generally non-refundable.
This may include custom:

Manuscript edits
-
Book layouts
-
Cover designs
-
Publishing files
-
Websites
-
Brand assets
-
Marketing materials
-
Metadata
-
Production files
-
Strategy documents
-
Launch materials
-
Digital deliverables
-
Other project-specific creative work
Third-Party Fees and Vendor Costs
Third-party costs may be non-refundable once incurred or committed.
These may include:

Printing and proof copies
-
Bulk-production deposits
-
Shipping and freight
-
Publishing-platform fees
-
Domain registrations
-
Software or application fees
-
Licensed fonts or assets
-
Stock photography or media
-
Specialty production services
-
Distribution or fulfillment costs
-
Other client-approved vendor expenses
HPG cannot guarantee refunds for charges controlled by a third-party provider.
Any refund request involving a third-party charge is subject to that provider’s policies and availability of reimbursement.
Project Pauses and Client Delays
HPG may pause a project when required materials, approvals, decisions, communications, or payments are not received within a reasonable period.
A project pause does not automatically create a right to a refund.
When a paused project resumes:

The original production schedule may no longer be available.

A revised start or completion date may be required.

Additional costs may apply if the delay creates new work, vendor charges, or production requirements.
HPG will communicate material scheduling or cost changes before work resumes.
Scope Changes
Requests to materially change an approved project are treated separately from cancellation.
Changes in direction, deliverables, formats, design, production requirements, or project scope may require:

A revised estimate

Additional fees
-
A change order
-
A revised statement of work
-
A new invoice
-
A revised production timeline
Work already completed under the original approved scope remains billable and is not refundable solely because the project direction later changes.
Client-Requested Delays or Abandonment
If a client becomes unresponsive or a project remains inactive for an extended period, HPG may consider the project paused, inactive, or closed in accordance with the applicable agreement.
Payments already earned for completed work remain non-refundable.
Restarting an inactive project may require:

Updated project terms
-
A revised schedule
-
Payment of outstanding balances
-
Additional fees for reactivation or changed requirements
Refund Processing
If HPG approves a refund, the refund will generally be issued using the original payment method when practical.
Processing times depend on the payment provider and financial institution.
Third-party processing or transaction fees that cannot be recovered may be excluded from the refund where permitted by law and the governing project terms.
HPG is not responsible for delays caused by banks, card issuers, payment processors, or other financial-service providers.
Client-Owned Publishing Revenue
Under HPG’s standard publishing-services model, clients generally own and control their publishing, distribution, ecommerce, and royalty-producing accounts.
HPG therefore does not administer consumer refunds for transactions processed directly through client-owned third-party accounts unless HPG is specifically acting as the merchant of record for that transaction.
For example:

Amazon transactions are governed by Amazon’s policies.

Purchases fulfilled through Ingram or its retail partners are governed by the applicable retailer or distributor.

Purchases through client-owned ecommerce platforms are governed by the applicable merchant and platform policies.
-
Printing or fulfillment refunds may be governed by the applicable vendor’s terms.
This Refund & Cancellation Policy primarily applies to HPG professional-service fees and HPG-managed project payments.
No Guarantee of Refund Eligibility
Submitting a cancellation or refund request does not guarantee that a refund will be issued.

Vendor commitments

Applicable agreement terms

Applicable law
HPG may, when appropriate, offer a project credit, partial refund, revised scope, or other resolution instead of a full refund.
Exceptions
Nothing in this policy limits any right or remedy that cannot lawfully be waived.
Where applicable law or a signed client agreement provides greater rights or different terms, those provisions will control.
